Welcome to Appilates

So..you have joined a trial and downloaded the app. What next? Follow this walkthrough to set up Appilates, go online, and bring in your clients.

Know Your Trial Limits Get familiar with what you can and can't do during your free trial. This helps you save time and set up your studio confidently before going live.

• Your free Appilates website stays hidden until you're ready.
• You can add or import clients and class-pass credits, but you can't invite clients to join Appilates until you are online and live.
• Invoice and cash sales are available to test, and are wiped when you go live.
• Your studio won't appear in public searches before going live.

Step 1: Set Up Your Sales Customize your offerings. Create passes, bundle them, and set up memberships for recurring payments (connect Stripe first for easiest setup).

1. Create class passes — tickets for group reformer, 1:1, or studio classes.
2. Bundle passes into packages, like 10 reformer passes or a combo of 1:1 and group passes.
3. Set up memberships for ongoing payments — clients can pay weekly or on a recurring schedule via Stripe.

Define your products—these are what you sell, like class passes, memberships, or merchandise.

Step 2: Add Your Schedule Start adding classes to your calendar.

1. Set up recurring classes, such as a standing Monday 9am reformer class. Create schedules that match your real-world timetable. During your trial, test or create actual schedules and clear demo classes before going live to ensure clients see the correct availability.

Step 3: Import Clients Bring in your current clients easily.

1. Export a CSV or spreadsheet from your previous software.
2. Use the Import Clients tool to upload your file.

This supports CSV or spreadsheet files and allows copy-and-paste. It matches your data to Appilates fields and helps prevent duplicates. Invitations are limited during your trial, but you can prepare your contact list for later.

Step 4: Customise Appilates Make it look and feel like your studio.

1. Add your logo, colors, taglines, and portfolio details.
2. Prepare your website content and design before going live (see Brand your studio). Your website stays private until launch.
3. Enable payment options like Stripe for online payments, invoices, or cash (see First time payment setup).

Step 5: Go Live Use the Go online tool to check your setup. It will highlight any missing steps. Once everything looks good, go live! Promote your studio and schedule at your own pace. You can extend your trial or update settings and content anytime.
