Manage Staff accounts

Manage staff accounts and subscriptions for staff seats for your studio.

Each staff member requires a subscribed staff seat (addon) with your Appilates studio subscription. The assistant automatically adjusts your subscription when you add or remove staff. You must be the owner or have your studio owner's permission to adjust staff seats and change the subscription plan for Appilates.

Add a staff member

  1. Open the 'Add or remove staff' Assistant in top-right menu.
  2. Provide the staff member’s Appilates email address.
    • If that email already exists in your clients list it will be automatically selected.
    • If the staff member does not yet have an Appilates account, ask them to download the app or create an account before you continue.
  3. Use the Assistant’s Next / Back controls to activate the new staff account.
  4. Finish the wizard — the system will provision the account and increment your subscribed staff seats automatically.

Remember: Your Studio portfolio allows to publish info's about your staff, don't forget to update it after changing staff accounts.


Staff permissions

  • You can enable or disable a wide variety of permissions for each staff account.
  • Each permission includes a clear description inside the app UI, so this manual does not repeat those descriptions.

Each Staff account can act as a Pilates class Instructor in your studio.

Remove a staff member

  • Start the Assistant to remove the account, follow the steps, and confirm removal.
  • The assistant will decrement your subscribed staff seats automatically after removal, you can decide to remain with your current staff seats and re-allocate the vacant seat after you remove a staff member.

Notes and best practices

  • Check your current seat count before adding multiple staff to avoid unexpected billing changes.
  • Review permission descriptions in the UI when assigning roles to ensure staff have the correct access.
